Overview : Our client, a commercial real estate and management company, is seeking a full-time Property Administrator for a high-rise commercial office building in downtown Denver. This position supports the Property Management team and is responsible for day-to-day office operations, basic accounting, and tenant relations. This is a fully in-office position.
Duties :
- Welcome guests to the management office, providing courteous and efficient assistance
- Answer and route incoming calls with professionalism and accuracy
- Review, code, and process invoices through Nexus and PredictAP, ensuring timely payments and proper budget allocation
- Monitor and correct tenant work orders to ensure accurate billing
- Prepare and distribute miscellaneous charge statements and follow up on outstanding rent payments
- Track Certificates of Insurance (COIs) for tenants and vendors using MyCOI or similar systems, ensuring compliance and resolving any discrepancies
- Manage scheduling for the loading dock and freight elevator, and maintain the operations calendar
- Organize and maintain digital and physical filing systems, including leases, contracts, construction documents, COIs, and tenant contact records
- Respond promptly to tenant service requests and coordinate appropriate team follow-ups
- Generate and update the Aging/Rent Tracker for Property Manager (PM) and General Manager (GM)
- Distribute monthly rent statements and supporting documentation to tenants
- Support tenant fire warden training, including preparation of training materials and ordering necessary supplies
- Maintain and update the electronic lobby directory and coordinate proofing and approval of tenant signage
- Assist in drafting and preparing service contracts
- Report and document incidents that may result in damage to property or equipment
- Coordinate routine maintenance and manage vendor relationships and service contracts
- Handle all incoming and outgoing office mail and packages
- Monitor inventory and order office supplies and arrange for repairs to office equipment as needed
- Provide administrative support to the Property Manager, General Manager, and Chief Engineer as required
Qualifications :
- High School Diploma required; bachelor’s degree is strong preferred
- 2+ years’ experience supporting a commercial or residential property management team is highly desired
- Experience in Microsoft Office Suite, reception, work orders, certificates of insurance, tenant interactions, construction management, and AP/AR
- Resourceful at identifying and working around obstacles and finding solutions
- Demonstrated commitment to customer service
- Excellent time management and organizational skills with a proven ability to meet deadlines
