Position Overview:
We are looking for a highly organized, creative, and self-motivated Event Center & Art Program Manager, in Rice Village, to lead the daily operations and strategic growth of our new multi-purpose event venue. Housed in two beautifully restored buildings with a connecting courtyard, our space blends modern event functionality with the charm and character of a former art gallery.
This role is primarily focused on the event center —managing client bookings, executing memorable events, overseeing day-to-day logistics, and coordinating rentals through HoneyBook .
However, honoring our artistic roots remains part of the experience: you’ll also curate rotating art installations to maintain the creative ambiance our guests love.
This is a minimally supported position during the growth phase, perfect for someone excited to take ownership, build systems, and shape the future of a unique cultural and event destination.
Key Responsibilities:
Event Center Operations & Management:
- Oversee all venue operations across two buildings and a shared courtyard.
- Manage inquiries, bookings, contracts, and payments through HoneyBook .
- Serve as the lead point of contact for all clients from inquiry to event execution.
- Maintain the venue calendar and coordinate setup, teardown, vendor access, and equipment needs.
- Ensure the space is clean, safe, and visually appealing before, during, and after events.
- Establish and enforce policies for rentals, vendors, and guest conduct.
- Monitor and report on usage, feedback, and revenue to support data-driven decisions.
Client Experience & Sales:
- Guide prospective clients through tours and provide clear, compelling information about the space.
- Customize event experiences within available layouts and amenities.
- Build long-term relationships with planners, vendors, and repeat clients.
- Respond promptly and professionally to inquiries via email, phone, and HoneyBook.
Art Program Oversight:
- Curate rotating art exhibitions throughout the venue, aligning with the building’s creative legacy.
- Coordinate with local artists for installations that elevate the ambiance of the event space.
- Maintain records of artworks on display, including inventory and sales.
- Develop partnerships with arts organizations to keep programming fresh and relevant.
Marketing & Promotion:
- Collaborate with leadership to develop promotional strategies for event bookings.
- Create and post content to digital platforms and social media to highlight events and art.
- Work with photographers, designers, and copywriters to create branded materials.
- Represent the venue at community and networking events to increase visibility and leads.
Administrative & Financial Coordination:
- Track bookings, deposits, and payments; generate basic financial reports.
- Maintain organized files and records for all contracts, licenses, and event documentation.
- Support budget planning and identify areas for cost savings or revenue growth.
Facility Oversight:
- Monitor condition of the buildings and courtyard, reporting maintenance needs.
- Coordinate with cleaning, security, and external service providers as needed.
- Ensure compliance with all safety, accessibility, and occupancy regulations.
Qualifications:
Experience:
- 5–7 years managing events or running a venue
- Experience using HoneyBook or similar CRM/event software preferred.
- Familiarity with working with artists or gallery spaces is a plus.
Skills:
- Exceptional organizational and multitasking skills.
- Strong written and verbal communication for client interaction and vendor coordination.
- Calm under pressure and solutions-oriented on event days.
- Visual and aesthetic sensibility to manage both functional event flow and artistic presentation.
